What custom HVAC software development means here
It means a field service platform written for your operation rather than configured from a template: your dispatch rules, your billing tiers, your maintenance agreements, your technician workflow. You own the repository and the data. There is no seat licence, so hiring your eleventh technician does not raise the software bill.
It does not mean HVAC engineering software. When custom HVAC software is the wrong answer
Most of the time, honestly. Custom software is the right call for a specific and fairly narrow situation, and a firm that never says no is a firm selling you its capacity rather than solving your problem.
- Under five technicians. The subscription is cheap relative to a build and your operation is still finding its shape. Stay on Housecall Pro or Jobber.
- The problem is process, not tooling. If dispatch is chaotic because nobody owns the board, new software will produce a faster kind of chaos.
- Nobody internally can own it. Custom software needs one person on your side who can make decisions about it. Without that, it drifts.
- You are mid-acquisition or about to change shape. Build after the dust settles, not during.
- An overlay would do. If two workflows are costing you the hours, buy those two workflows for $10k rather than replacing a system that works.

The honest summary: subscribing is cheaper for the first two years and more expensive from roughly year three onward, and the crossover arrives sooner the faster you hire. That is the whole decision. Anyone presenting it as more dramatic than that is selling something.
How the build actually runs
Every engagement opens with a two-week operations discovery. We sit at the dispatch desk, ride along on a service truck, and sit with the office manager through a billing cycle. It is not a formality — it is where we find the three workflows that are quietly costing you the most, which are almost never the ones named in the first email.
