What HVAC dispatch software actually has to do

HVAC dispatch software assigns jobs to technicians and manages the day as it changes. It holds the board, the schedule, routing between jobs, status coming back from the field, and customer notifications. For HVAC specifically it also has to absorb same-day emergency calls without wrecking the maintenance work already booked.

That last part is where most tools quietly fail. A no-heat call in February is not a new row on a list — it is a decision about which of today's eleven scheduled jobs moves, which technician has the part on the truck, and which customer gets a phone call explaining the change. Software that treats it as a scheduling entry hands that decision back to a dispatcher and a whiteboard.

The parts we build

  • Dispatch board — drag-and-drop, live technician status, conflict warnings before a double-booking rather than after it.
  • Emergency triage — urgency scoring on intake, on-call rota awareness, explicit rules for which scheduled jobs may be displaced and which are protected.
  • Route optimisation — weighs traffic, technician skill and certification, and the parts actually on each truck. Nearest technician is not the same as the right technician.
  • Capacity planning — seasonal load, how many maintenance visits can be promised for next month without leaving no room for emergencies.
  • Technician mobile — offline-first, because mechanical rooms and basements have no signal. Job history, equipment specs, photos, signatures, on-site invoicing, syncing when it reconnects.
  • Customer ETAs— automatic notifications on dispatch, en route and delay. The cheapest way to cut inbound "where is my technician" calls.
  • AI receptionist — after-hours intake that captures system type, age, symptom and urgency, then routes genuine emergencies to the on-call technician instead of a voicemail box.

Why scheduling and dispatch are one problem, not two

Plenty of tools sell HVAC scheduling software and HVAC dispatch software as separate modules. In an operation they are the same problem seen at two time horizons — scheduling is the plan, dispatch is what survives contact with the day. Splitting them across systems is how a shop ends up with a booked maintenance calendar nobody can actually service.

When you should not rebuild dispatch

  • Under five technicians. The dispatcher can hold the whole day in their head. Software solves a problem you do not have yet.
  • Nobody owns the board. If dispatch is chaotic because no single person is responsible for it, new software produces faster chaos.
  • The real problem is upstream. If jobs are booked with bad information, no dispatch logic recovers from it — fix intake first.
  • Your current tool has the feature and nobody switched it on. We have told operators this and walked away. It is cheaper for you and it is the truth.
